dexta TimeTimesheets, attendance, leave

Timesheets, attendance and leave that feed payroll.

Staff fill their week against projects, clock in from a phone or the office machine, and apply for leave. Managers approve in one place, and loss-of-pay days go straight to Pay.

01

Weekly timesheets by project

A weekly grid against allocated projects, manager approval with “approve all clean sheets”, and reports by project, person and week.

02

Attendance from phones and machines

Phone clock-in with a location fence and an optional selfie. eSSL and ZKTeco machines push punches in as they happen.

03

Leave rules as you write them

Yearly, monthly, quarterly or per-days-worked credit, comp-off, half days, the sandwich rule, probation limits and restricted holidays: 17 settings per leave type.

04

Shifts and overtime

Shifts, rosters, swaps and late marks, with overtime worked out under the Labour Codes' 48-hour week and paid or banked as comp-off.

Works with

What Time hands to the other apps, and gets back.

It shares one employee record with the rest of the suite. Each hand-off below happens inside Dexta, with no export.

  • Dexta PayEach month: days worked, unpaid days, half days, late-mark deductions, shifts, overtime and leave encashment.
  • Dexta GrowthAttendance % and timesheets on time as automatic KPIs; overtime, late marks and unplanned leave as early-warning signals.
  • Dexta HRLeavers come from HR's exits.
  • Dexta HubLocations, holiday calendars, approval chains and the Today card on My Profile.

50 features that work today.

Listed from the product itself. Where a feature needs an account with an outside provider, it says so.

Timesheets

  • Weekly timesheet by project and task

A week grid of hours per project and task type per day. Save a draft, then submit.

  • Approve or send back

The manager reviews a week, approves it, sends it back with a note, reopens it, or reminds the person.

  • Approve all clean sheets

One click approves every submitted week within 10% of target hours and flags the rest.

  • Week lock and unlock requests

Approved weeks lock. HR chooses who can reopen them (HR only, the manager, or nobody). Employees can ask to unlock a week.

  • Timesheet rules

HR sets:<br>- week start;<br>- standard and maximum hours per day and the hour step;<br>- submission deadline;<br>- how far back and ahead people may fill;<br>- auto-approve after a set number of days;<br>- go-live date.

  • Billable and non-billable hours

Each project is billable or not. Reports filter on it, and each profile shows billable hours over 5 weeks.

  • Automatic reminders

Reminders the day before the deadline, overdue notices after it, and a daily digest for approvers.

  • Filing for someone who has left

HR or the manager fills in weeks or leave for a leaver, so days are not wrongly unpaid.

Projects

  • Projects

Code, client name, department, billable flag, budget hours, project manager, start and end dates, open to all or not.

  • Allocations

Assign people to a project with a % and the task types they may log, one at a time or in bulk.

  • Task types

A list of task types (5 to start with) that HR can extend.

Attendance and clock-in

  • Web clock-in and attendance log

Clock in and out from the browser. Each day shows Present, Late, Absent, Leave, Holiday or Weekend. Late is judged by the company cut-off or the shift's grace minutes.

  • Attendance correction

The employee asks to fix a day and the manager approves, through a multi-level chain if one is set.

  • Phone clock-in with location fence

Clock in from the phone. The position is checked against the office's location and radius (200 m by default). Out-of-fence clock-ins can be allowed, flagged or refused, but clock-out is never refused. Rules apply company-wide or per location.

  • Selfie at clock-in

An optional photo at clock-in for the manager and HR to see. It is never used for face recognition.

  • Flagged clock-ins review

Managers and HR see out-of-fence clock-ins. Every look at locations or photos is logged.

  • Old attendance history

Attendance brought from the old system shows on calendars and reports, read-only.

Fingerprint and face machines

  • Live punches from machinesNeeds an eSSL or ZKTeco machine

Machines that speak the ADMS (iclock) push protocol send punches straight to Time. That covers most networked eSSL and ZKTeco models and look-alikes.

  • Machine safety

Only registered serial numbers are accepted, unknown machines wait for HR's approval, and HR can limit a machine to the office's IP range. Calls are rate-limited, and HTTPS is used, or plain HTTP only if HR allows it per machine.

  • Import from machine software

For machines that can't push: import CSV or Excel exports from eTimeTrack, ZKTime/Att2000, BioTime or a USB download. The columns are recognised and the file is checked before saving.

  • Who is who

Machine users are matched to people by HR's map or the employee code. Unknown punches are held for HR.

  • Machine warnings

Warns about machines open to any address and punches dated before go-live.

Leave

  • Apply and track leave

Apply, cancel, see balances and history, preview the days, and see which teammates are out.

  • Approve leave and team calendar

Approve or decline leave and cancellations, and see the team leave calendar.

  • Leave types

Starts with casual 12, sick 12, earned 15 (carry up to 30, encashable) and unpaid. HR adds more.

  • Leave policy engine with preview

Per leave type:<br>- accrual (yearly, monthly, quarterly, per days worked, comp-off);<br>- pro-rating and probation rules;<br>- half days and the sandwich rule;<br>- notice, maximum days per request and per month;<br>- a document after N days;<br>- negative balance;<br>- encashment.<br>Includes a "what would this person get" preview.

  • Year-end close, carry-forward and encashment

HR previews and confirms the year end. Days over the cap are encashed or lapse. Encashed days, and encashable leave at exit, go to Dexta Pay.

  • Comp-off

Earned from approved overtime or rest-day work. It expires after 60 days by default, and the oldest credit is used first.

  • Half days and sandwich rule

Half-day leave, and leave that spans a weekend or holiday counted as the company decides.

  • Medical certificate upload

Attach a PDF or image to a leave request.

  • Opening balances

Enter balances one by one or import a CSV.

  • Earned leave by Labour Codes

1 day per 20 days worked once 180 days are worked, and refused leave carries forward.

Holidays

  • Holiday calendars per location

Uses the Hub's holiday calendar and work week (Saturday rules) for each location. Restricted holidays are taken as a leave type.

Shifts, overtime and late marks

  • Shifts

Start, end, break, late and early grace, half-day and full-day hours, and a default shift per location.

  • Night shifts

Shifts that cross midnight, with the night punch handled.

  • Rotations and roster

Rotation patterns, weekly offs, a roster grid to edit and publish, and bulk assignment.

  • Shift swaps

The colleague agrees first, then the manager approves.

  • Overtime

Counted daily, weekly or both, against a 48-hour weekly limit, with Wage Rules rounding. Warns at 144 hours a quarter. Rest-day work becomes overtime or comp-off. Employees claim, managers approve, and Pay pays.

  • Late-mark deductions

Every N late marks cost X days of leave or pay. HR can waive marks. The result goes to Pay each month.

Dashboards, approvals and control

  • Manager dashboard

    Team utilisation and team attendance.

  • Waiting for me

One queue for leave, corrections, overtime and shift swaps, with multi-level chains and delegations from the Hub.

  • HR dashboard and employee list

Company-wide view and each person's time profile and leave balances.

  • Audit trail

A log that cannot be edited of every change to balances, policies, year end, machines, comp-off and settings.

  • Company clock

"Today", lateness and deadlines run on the company's time zone (India by default), not the server's.

Reports and hand-offs

  • Timesheet reports

8 views (by project, department, employee, task, client, week, detail, attendance) with a billable filter. Each downloads to Excel, or all together in one workbook.

  • Leave and attendance reports

5 reports: leave taken and balances, absenteeism, late marks, overtime hours, and clock-ins from machines and phones. Excel downloads, each one logged.

  • Monthly attendance to payrollWith Dexta Pay

Gives Dexta Pay each person's days worked, unpaid days, half days, late-mark deductions, shifts, overtime and leave encashment.

  • Performance signals to GrowthWith Dexta Growth

Attendance %, on-time timesheets, overtime, late marks, after-hours work and unplanned leave, as counts for Dexta Growth.

  • Migration and export

Leave types, balances, approved leave and attendance history come in through the Hub's migration (with undo). Time's data goes into the company export.

  • Privacy (DPDP)

Personal data and erasure for the Hub's privacy pages. Attendance registers are anonymised rather than erased, as wage rules require. Under-18s are never location-tracked.
