For finance heads and CFOs

Payroll and expenses post into the books by themselves.

And the year-end comes out of the same ledger. No journal re-typed from a payroll register, no claims spreadsheet, and one set of figures for your auditors.

What you get

Seven reasons the month-end gets shorter.

  1. 01

    Payroll and claims post themselves

When a payroll run is approved, the accrual goes to Books; when it is paid, the payout follows. Each approved expense claim posts too, and a GST claim arrives as a supplier bill with its input credit. Entries carry the department's cost centre; a code Books doesn't have yet is flagged, and one click sets it up and tags the waiting entries.

  2. 02

The new payroll law, already in the run

The Labour Codes' 50% wage rule and 50% cap on deductions, PF at the ₹25,000 ceiling from 17 September 2026 with past shortfalls worked out, and gratuity on Code wages. Law changes go in as dated rule packs, and old runs stay tied to the rules they used.

Income-tax Act 2025 forms for salaries

Form 130 (was Form 16) with the TRACES Part A kept signed, Form 123 (was 12BA) for perquisites, and Form 138 (was 24Q) files for the first three quarters in Protean's layout, with the fourth quarter's Annexure II as a worksheet until Protean publishes its file layout.

GST and TDS worked out every month

GSTR-1 and GSTR-3B prepared from your entries, with rules 37, 37A, 42 and 86B applied each month. TDS is worked out by section on vendor bills, and finance is warned when payees that employees paid cross the 194C, 194J, 194-I or 194H limits.

  5. 05

Expense claims with GST sorted on the way in

In Dexta Spend, staff claim against your policy: limits per category, department or role, and monthly department caps set to warn or block. GSTINs are checked and CGST and SGST or IGST is worked out from the place of supply, so claimable input tax reaches Books on a supplier bill. Advances are set against approved claims, company card statements are matched to claims or marked personal, and a leaver's open claims and advances go into their final pay.

Bonuses and increments that reach payroll on their own

A referral bonus from Dexta Refer that falls due goes to Pay as a one-off earning in the next run. Increments decided in Dexta Growth go to Pay as a draft salary revision, where Pay's own approval still applies, and the board shows what the decided increments cost against current CTC.

    The year-end from posted entries

Schedule III statements with notes, cash flow, CARO 2020, the Form 3CD tax audit and ITR-6 working papers, all from the same ledger. Posted entries can't be edited, only reversed, and the audit trail is sealed.

Controls

Checks that a second person signs.

Second-person approval

Nobody approves a payroll run, salary structure or advance that pays themselves. Nobody approves or pays their own claim.

Who sees salaries

A switch decides whether finance sees individual salaries or only totals.

Bank account changes

An employee's new bank account waits for a second person before the next salary file.

Maker-checker on journals

Hand-made journals, optionally above an amount, wait for someone else to approve them.

A ledger that shows tampering

Posted journals are hash-chained, so any change after posting shows up on a check.

Not on Books yet?

Pay exports each run's journal as Tally XML or a Zoho Books CSV, by department or cost centre.

In the demo

What we'd show you.

  1. The payroll run's "what changed" check. Each person's pay against last month, with joiners, leavers, big differences and loss-of-pay flagged.
  2. A claim with a GST invoice. The policy warnings an approver sees, then the claim posted to Books as a supplier bill with its cost centre.
  3. The compliance rules. The Labour Codes settings card and the dated rule packs behind PF, PT and TDS.
  4. The ITR-6 screen. Book profit to taxable income with each add-back traced, then the ITR-6 working papers.

Two things Books prepares but doesn't file yet: GST returns are filed on the portal and the ARN recorded in Books, and the ITR-6 JSON waits on a software ID from the Income Tax Department.
