Issuing letters in bulk
Pick a template, choose who gets it, preview, and issue letters that people accept online.
Updated 15 October 2026
What you’ll do: issue the same letter to one person or a whole group, with their own details filled in.
Who can do this: HR. Letters with salary figures need someone who can see salaries.
Steps
- In Dexta HR, open Letters and the Issue letters tab.
- Under 1. The letter, choose a Template.
- Under 2. Who gets it, pick people. Use Who (for example Everyone working here or Probation ending in a month), Department, Location or Name or code to find them.
- Under 3. What you type, fill in anything the template asks for. It’s the same for everyone; use Values for a person for anything that differs.
- Under Preview and issue, click Preview and Open PDF to check one. Still missing: lists any gaps.
- Tick Send for acceptance in Dexta HR if people should accept it, then click Issue (the button shows how many letters).
Good to know
- People open My Letters, click Open the letter, and choose I accept or Decline (with a reason HR sees).
- The Issued letters tab shows who is Waiting for an answer, Accepted or Declined, with Remind now and Withdraw.
- On the Templates tab, click Add a template or edit a starter one. Click a placeholder under Placeholders to drop in details from the person’s record, things you type when issuing, or salary figures.
- Names print correctly in Indian scripts on the PDF.
