Approving expense claims
Managers approve their team's claims, then finance approves and records the payment.
Updated 15 October 2026
What you’ll do: approve or reject a claim, and (for finance) pay it.
Who can do this: managers approve first. Finance approves second and records the payment.
Steps
- In Dexta Spend, open Approvals and click Review on a claim.
- Check the amount, category and receipt.
- Write your Notes (needed either way) and click Approve or Reject. Your note is the reason the employee sees.
- Finance: open Approvals and do the same for claims the manager has approved.
- Open Payments. Tick the claims and click Mark selected paid, or use Record manual payment. Fill in the Payment method, Bank reference and Paid on date.
Good to know
- Finance can download a Bank file (CSV) or an HDFC ENet file to pay many claims at once.
- Finance can’t approve a claim while it’s still with the manager.
- Who approves which claims, and how many steps there are, is set in the Hub under Approval chains.
- Finance gets a warning when payees that employees paid cross the TDS limits under 194C, 194J, 194-I or 194H.
