Shifts and rosters

Define shifts and weekly offs, publish a roster, and handle overtime, comp-off, swaps and late marks.

Updated 15 October 2026

What you’ll do: set up your shifts, put people on them, and approve overtime and swaps.

Who can do this: HR sets up shifts. Managers and HR make rosters and approve claims.

Steps

  1. In Dexta Time, open Shifts under Administration. You see Shifts and weekly offs.
  2. On the Shifts tab, add a shift: its Code, Name, Starts, Ends, Break (minutes), grace for late and early, and the hours for a full and half day. Click Save shift.
  3. Use Weekly offs and Rotations for who is off when, and for shifts that rotate.
  4. On Overtime, comp-off & late marks, set when overtime starts, the Weekly limit (hours), what it earns, and how many late marks count as a deduction. Click Save rules.
  5. Open Roster. Use Assign shifts to put people on shifts, move with Previous and Next, and click Publish (it shows how many changes) to send them out.
  6. Open Overtime & swaps to Approve or Decline the Claims waiting and Swaps waiting. Declining needs a note.

Good to know

  • Employees see their week under My shifts. They click Claim to ask for extra hours and Swap a shift to swap with a colleague, who answers Agree or Say no.
  • Overtime is worked out against the Labour Codes’ 48-hour week. It can be paid through Dexta Pay or banked as comp-off leave.
  • HR reviews and waives late marks month by month under Late marks.
