Running a month's payroll
Compute the month's run, check attendance and the register, and have a second payroll admin approve it.
Updated 15 October 2026
What you’ll do: work out a month’s pay for everyone, check it, and get it approved so payslips go out.
Who can do this: payroll admins. The person who makes a run can’t approve it: a second payroll admin does.
Steps
- In Dexta Pay, open Payroll Runs. Under Compute a run, pick the Year and Month.
- Under Loss-of-pay days from, choose Dexta Time (approved leave and attendance) or Entered in Pay. Click Compute run.
- Click Attendance and sort out anyone marked for loss-of-pay days to enter or confirm.
- Click View payslips to read the register: gross, deductions and net pay for each person, with a PDF of each payslip. Read any Check before approving warnings, for example someone’s gross pay moving more than 30%.
- Changed something since? Click Work out again.
- A second payroll admin opens the run and clicks Approve run. Payslips are now visible to employees under My Payslips.
Good to know
- Found a mistake before the bank pays? Click Reopen to correct and give a reason under Why. After payment, use Correct after payment.
- What changed lists everyone whose pay moved from last month, and One-offs adds a bonus or deduction for this month only.
- Every run is in Pay’s Audit Trail, with who made and who approved it.
- The run’s entries go to Dexta Books (see Dexta Books in the menu), or use Accounting export for Tally or Zoho Books.
- A company with one payroll admin and one org admin can let that person approve their own run. It’s recorded in the audit trail.
