Full and final settlement
Work out a leaver's last pay with leave encashment, notice and gratuity, get it approved and mark it paid.
Updated 15 October 2026
What you’ll do: settle a leaver’s dues within the Labour Codes’ two working days.
Who can do this: payroll admins. A second payroll admin approves.
Steps
- In Dexta Pay, open F&F Settlements and Select an employee (filter To settle).
- Under Compute a settlement, check the Last working date, Leave encashment (days) and Notice shortfall (days), and choose Why they left.
- Add a Gratuity top-up by policy (₹) or Correction recovery (₹) if your policy needs one.
- Click Compute settlement. Read the result: gratuity with the years counted under the Act, and leave encashment with the tax-free part.
- A second payroll admin clicks Approve settlement.
- When it’s paid, click Mark paid (or Mark recovered if the leaver owes money), then Mark settled.
Good to know
- Leave days for encashment come from the person’s balance in Dexta Time.
- Open expense claims and advances are settled in the final pay too.
- The leaver can still sign in to see My Settlement, My Payslips and My Tax, nothing else.
