Who does what: access profiles
Answer six questions to give HR, payroll, finance, IT and leadership the right access in every app.
Updated 15 October 2026
What you’ll do: decide who looks after HR, hiring, payroll, money, IT and final reviews, and let Dexta set their access in every app.
Who can do this: org admins.
Steps
- In Dexta Hub, open Users & access under Admin.
- On the Who does what card, click Start (or Run it again).
- Answer each question by picking people: Who looks after HR?, Who hires?, Who runs payroll?, Who approves expenses and handles money?, Who looks after IT? and Who does the final performance reviews? Use Next and Back.
- Click Check and save, read the summary, then Save.
Groups and profiles
- Dexta has nine ready-made profiles: Employee, Manager, HR, Recruiter, Payroll admin, Finance, IT, Leadership and Org admin. The Profiles tab shows what each one opens.
- On the Groups tab, click New group to give profiles to a set of people. A group can be By rule (everyone in a department, location, designation or employment type) or hand-picked. New joiners who match the rule get the access by themselves.
- For a one-off, open a person on the People tab and use Advanced: exceptions to change their access in one app. Click Save exception.
Good to know
- “Manager” is automatic: anyone with people reporting to them gets manager screens for their own team.
- HR doesn’t see salaries in Pay unless you decide otherwise. Pay has a Who sees salaries page for that.
- Payroll has a maker and a checker: the person who makes a pay run can’t approve it, so pick two payroll admins if you can.
- Every change is recorded in the Hub’s Audit log.
