Inviting people and the onboarding Excel file
Bring everyone in with one Excel file, or invite people one at a time by email.
Updated 15 October 2026
What you’ll do: add your employees to Dexta from a spreadsheet, check it before anything is saved, and choose when welcome emails go.
Who can do this: org admins.
Steps
- Open Organisation and the People tab. Find Bring your employees in.
- Click Download the template (or Download current employees to start from who’s already there). Fill in one row per person. First name, last name and work email are required; code, designation, department, location, manager’s work email, employment type and date of joining are worth filling too.
- Click Upload and check and choose your file (Excel .xlsx or CSV, up to 20,000 people). Nothing is saved yet.
- Read the result: New people, Updated, No change, Leavers, In Dexta, not in the file and Welcome emails. If any row has a problem, click Download your file with a Problems column, fix those rows and upload again.
- Under When should the welcome emails go? pick Send now, a date (sent at 9 in the morning), or Don’t send yet.
- Click Import n people (the button shows how many) to bring them in.
Inviting one person
- On the People tab, use Invite by email: type the Name, Email and, if you like, Mobile number (optional).
- Click Send invite. Or tick Set a temporary password instead of emailing a link, click Generate, then Create account.
- The Everyone invited list shows each invite as Pending, Accepted, Expired or Revoked, with Resend and Cancel invite.
Good to know
- Welcome emails carry a temporary password that works for 7 days. People choose their own when they first sign in.
- Upload the file again any time to add and update people. Anyone in Dexta but missing from the file is listed for you to look at, never removed on their own.
- Moving from greytHR or Zoho? Our team does the data move as a paid service, with a test payroll comparison and an undo before go-live.
