Setting a leave policy
Create leave types and set how they're credited, who gets what, probation, half days and the sandwich rule.
Updated 15 October 2026
What you’ll do: add a leave type and write its rules the way your policy reads.
Who can do this: HR.
Steps
- In Dexta Time, open Setup & policies under Administration, then the Leave types tab.
- Click Add type. Give it a Code, a Name and its Annual entitlement (days). Tick Carries forward to next year (with a Carry-forward cap (days)), Unpaid leave (leave without pay) or Paid out when someone leaves as needed. Click Add type.
- Click Rules on the type to open its Leave policy.
- Under How it’s credited, choose the Credit: all on 1 January, a twelfth each month, a quarter each quarter, earned by days worked (for factory workers under the OSH Code), or comp-off.
- Under Who gets what, click Add a rule to give different days by Location, Department, Designation, Employment type or Gender.
- Set Probation, When applying (half days, the sandwich rule, Apply at least, Most days at a time, A document for more than) and Year end. Click Save rules.
Good to know
- Tick Joiners and leavers get the share of the time they’re employed to pro-rate the credit.
- During probation can be the same as everyone, nothing until confirmed, or a limited number of days.
- Mark restricted holidays on the Holiday calendar tab, then let a leave type take only those days.
- Leave balances and Leave year end under Administration show and close the year.
- Probation dates and gender come from Dexta HR and the Hub; encashment and loss of pay go to Dexta Pay.
